About this Privacy Policy
This privacy policy is intended to inform you about how the RSSA collects, holds and processes information you provide when using the RSSA Members Area.
Information We Collect
When you register for the RSSA Members Area, you must provide the following information:
- Your name.
- Your email address.
- A password for accessing the site.
- Details of the RSSA Member Organisation with which you are associated.
- Some basic contact information (including a phone number, and the state in which you live).
- Details of a referee with which we can confirm your details. This must be the Educational Manager, or the Business Manager (or equivalent) of your Organisation.
- Details of your role within the RSSA Member Organisation (in the form of a request to join an RSSA Group).
This information is collected during the registration process and stored in our database for future retrieval.
Session Data
All of our websites collect session information, which is a special kind of 'key'. This key identifies you when you log into one of our sites and makes sure, that as you travel from page to page within the site, you remain 'logged in' and able to see the information you need. The session data stored is minimal and is destroyed again when you either log out, or close your browser window.
How We Use the Information We Collect
The information you provide us with on registration, is used in the following ways:
- Internal record keeping.
- To provide you with secure access to the online service we provide to individuals working within RSSA Member Organisations.
- To contact you regarding this access.
- To contact you from time to time about RSSA events, updates, publications and other important information.
We Will Not
- Sell your information to third parties.
- Otherwise disclose your information outside the RSSA without your express written permission.
- Send you advertising material or other information not related to the RSSA's role.
A Note on RSSA Delegates
When an individual becomes a Delegate for their Member Organisation, they provide their details to the RSSA so that we can keep our legal records of voting members up to date. If an individual becomes a delegate and has not already registered their details with us, their details may be entered into the database for them. They will then be notified and provided with access to alter or correct these details as appropriate.
How We Secure Your Information
We have measures in place to ensure that your information is both secure, and safe from accidental deletion or alteration. These measures include:
- A password-protected database stored on our web servers.
- Backups of the database stored securely.
- Passwords and other sensitive data stored in a human-unreadable form.
- RSSA Shop payments processed through the PayPal system which uses a secure server to protect credit card details and other sensitive data.
Alteration of Your Information
Information you provide to us can be altered at any time either by you, or (in the case of Delegates) by one of our administrators. Whenever your account has been altered, you will be notified by email. In the case of a change in password, your password will also be emailed to you.
The RSSA reserves the right to change and update your details either on your request, or because we receive updated information from your Member Organisation, however you will always be notified when this occurs and provided with the opportunity to log in and correct these details as appropriate.
A Note on Passwords
Passwords are stored in the database in a form which is not human-readable. This means that should you forget your password, it cannot be retrieved – only changed to something new. The email you receive upon changing your password contains your new password. This email is the only human-readable record of the password.
Accessing and Deleting Information you Provide to us
You can access your information by logging in to the RSSA Members Area site located at http://www.steineroz.com/members
If you would like your information to be completely removed from our database, please contact evan@steineroz.com to request this. Be aware however that information may remain in backup databases for a time after your information has been removed from the main database.
Changes to this Privacy Policy
The RSSA reserves the right to change this privacy policy from time to time, as the needs of our online services are updated. We will always post the most up-to-date Privacy Policy on our website. The privacy policy will be linked from the RSSA Members Area site. To stay up to date with changes to the Privacy Policy, please check this site regularly.
